Terms & Conditions
The booking, payment and travel terms for tours with Payla Travel across Nepal & India.
Last updated: September 2026
These terms apply to all bookings made with Payla Travel Pvt. Ltd. (Payla Travel), Mahendranagar, Kanchanpur, Nepal — whether made online, by phone, on WhatsApp or at our office. By paying a booking amount you confirm that you have read and accepted these terms on behalf of everyone in your group.
1. Bookings & confirmation
- A booking is confirmed only after we receive the advance (booking amount) and share a written confirmation by email, WhatsApp or SMS.
- The lead traveller must be 18+ and is responsible for the accuracy of all traveller details provided.
- A valid photo ID (Nepali citizenship, Indian Aadhaar/Voter ID, or passport) is required for every traveller to confirm a booking.
2. Payments & pricing
- Prices are quoted per person in NPR. INR and USD amounts are shown for reference and are confirmed at the current exchange rate at the time of payment.
- A 25% advance confirms your seats and dates; the balance is due before the trip begins — on the pick-up day at the latest.
- We accept bank transfer, eSewa, Khalti, PhonePe and cash at our Mahendranagar office. Any payment-gateway or bank charges are borne by the customer.
- Prices may change for bookings not yet confirmed, or if government taxes, permit fees or fuel prices change beyond our control.
3. Cancellations & refunds
- Cancellation charges depend on how far before departure you cancel. Please see our Refund & Cancellation Policy for the full breakdown.
- Refunds are processed to the original payment method within 5–7 working days, or held as a credit note with no expiry if you prefer.
4. Travel documents & identity
- You are responsible for carrying valid identity documents and any permits or visas required for your journey.
- For India tours we cross the Gadda Chauki (Banbasa) border; please carry the correct ID and follow immigration rules of both countries.
- National-park entry permits, ACAP/TIMS and similar permits are arranged as part of the relevant packages where stated.
5. Itinerary changes & force majeure
- Itineraries are a plan, not a guarantee. Weather, landslides, roadblocks, flight delays, political events or other conditions beyond our control may require changes.
- Where a change is unavoidable, we arrange the best available alternative. Extra costs caused by such events (e.g. an added hotel night) may be payable by the traveller.
6. Health, fitness & safety
- Some trips involve trekking, safari, rafting or high-altitude travel. Please assess your fitness and disclose any medical conditions before booking.
- Follow your guide’s instructions at all times. We may adjust or stop an activity for safety reasons.
7. Travel insurance
- Travel and medical insurance is strongly recommended for every traveller.
- For high-altitude treks (such as Api Himal or Khaptad) insurance covering medical care and emergency evacuation is mandatory.
8. Our responsibility & liability
- We act in good faith to arrange transport, stays, guides and activities. We are not liable for loss, delay or injury caused by third parties or events beyond our reasonable control.
- Our maximum liability for any claim is limited to the amount paid for the affected service.
9. Traveller conduct
- Please respect local culture, wildlife, religious sites and fellow travellers. We may end a trip, without refund, for behaviour that endangers others or seriously disrupts the group.
10. Photography & media
- We may use photos or videos taken during trips for promotion. Tell your guide or email us if you would prefer not to be featured and we will honour it.
11. Governing law
- These terms are governed by the laws of Nepal, and any dispute falls under the jurisdiction of the courts of Kanchanpur, Nepal.
